At FastLane, we are a licensed company service provider in Hong Kong with an office in Malaysia. We help clients navigate corporate secretarial, compliance, and advisory matters across multiple jurisdictions. The role requires an on-site presence during the initial three-month period (Subject to performance).
This position offers a hybrid working model, combining remote work with occasional in-office collaboration, and provides opportunities to gain exposure to regional engagements.
Key Responsibilities
- Handle the full spectrum of corporate secretarial work, including preparation and filing of statutory documents, maintenance of company records, and ensuring regulatory compliance.
- Prepare board resolutions, minutes, and maintain statutory registers in accordance with regulatory requirements.
- Manage company incorporations, changes, and strike-offs across jurisdictions.
- Monitor deadlines and ensure timely submission of annual returns and other statutory filings.
- Liaise with internal teams (including Hong Kong), regulators, and external parties such as auditors and tax agents.
- Support and respond to client queries on corporate secretarial and compliance matters.
- Maintain accurate client records in internal systems and ensure proper documentation.
- Assist with the onboarding of new clients, including KYC and due diligence processes.
- Support cross-border engagements and gain exposure to regional portfolios.
- Provide administrative and ad hoc support as required.
Requirements
- 1–3 years of experience in company secretarial and compliance work.
- Familiarity with Hong Kong company law and regulatory requirements is preferred.
- Knowledge of Malaysia’s Companies Act 2016 and SSM processes would be an advantage.
- Degree in Law, Business Administration, or a related field.
- ICSA / MAICSA qualification (or in progress) is a plus.
- Able to communicate effectively in English and Mandarin.
- Good organizational, communication, and client coordination skills.
- Able to manage multiple tasks independently in a structured manner.
